It’s so important to have your resources organized in order to run a more productive ship!
Nothing is worse than sitting down to create your content for the week or to draft up a quick invoice and find you need to go searching through countless Dropbox folders for your high-res logo or rifle through a pile of sticky notes for the one colour code you always use.
No thanks!
You can save so much time by utilizing the Brand Kit feature within Canva!
With Canva Pro, you’re able to upload as many logos, graphics, and images as you can use. You can also keep your brand fonts and colours organized at the tip of your fingers and upload different colour palettes if you also do client work on the platform.
That’s a huge time-saver, and a super smart monthly investment for your business.

Canva Folders
Folders!
Just like we mentioned above, there’s nothing more irritating than trying to sort through all of your recent designs to find something.
Luckily, Canva has a feature for that!
On the left-hand side of your home page, you’ll see where you can create a list of folders. It’s super handy to be able to create categorized folders for stock photos you may be using or to organize your templates.
Keeping all of your content easily organized in its corresponding folder is such a serious time-saver!
Canva Templates
Templates are truly the MVP of this list, and if you only take away one time-saving piece of advice, this is the one to implement.
Templates are the perfect little starter to get you going so you are not left lost and wondering how to fill up your page.
You can purchase a pre-made template or you can find a template within Canva and tweak it to make it your own.
Swap out the fonts and colors you already have saved in your logo kit, and you’re good to go!
We all know we don’t have countless hours to create designs from scratch, so why not purchase a professionally designed, ready-to-go template that you can easily pop your information into?
Best of all, you don’t have to make design decisions. It’s already set up to look professional and amazing!
Another little trick with templates is they are not just one-time use.
You can continue to reuse templates over and over again, which also helps with brand consistency. Take the same design layout and create a few different variations with your brand colors, giving some variety to your content while also keeping your designs identifiable.
This way, each and every time you need a new post it’s ready to go for you! Just add in your new text, swap out an image or brand color, and you’re done!
Such a lifesaver!
Saving Your Own Canva Templates
The template feature in Canva Pro is a major time saver, and a tool that I personally use constantly!
If you’ve designed for yourself an Instagram story post, this is something that you can reuse over and over again. Each time, you can simply adjust the content and images – but the bones will stay the same.
This is the perfect type of document to save as a template!
On the top right-hand side, under “Publish”, click on “Show More”, then scroll down until you see “Templates”.
You can then select the folder that will house the template and select “Publish”.
In order to now access these templates, all you have to do is go to your home page, go into the folder on the left-hand side you saved it in, and click on the template.
Canva will ask you if you want to “Use the template” or “Edit the template”.
Unless you need to make a change to the master document, you will always choose “Use the template”.
Re-sizing for all Platforms
Have you ever created the perfect image for your content, and then realized it needs to be redesigned for each platform?
Once again, Canva’s got your back, girl!
The resize tool is going to save you so much time. All you have to do is take your completed (and beautifully branded) template, select “Resize” in Canva and pop in your new measurements.
Canva then magically takes your templates and creates a new copy in your new size!
Talk about some serious time-saving!
You will just need to readjust any elements that need to be resized to fit your new page. But trust me, this tool takes you from 30 minutes of work to a max of five minutes!
Canva Teams and Collaborations
If your business has a team, or if you’re part of a client’s team, you can share templates with one another with one simple click.
Once you click on the “Share” button, the names of the teams you are a part of are listed just below the email field within the Share menu.
If you select the dropdown button beside each team name, you can choose whether or not everyone can edit or view the document.
Once you share the template with your team, they will automatically have access to your shared designs. And for even more organization, it will appear in their shared with you folder!
So perfect!
If you want to share a design with a select team member and not the entire team, you can always type their name or email address in the text field right above where we just selected the team.
Click to select them from the appeared searches, and once again select their viewing capabilities within the dropdown menu, then send over the invite!
An email will appear in their inbox that you have shared a design with them, and of course will also appear in their shared with you folder.
With just a click of a button, you are saving the time it takes to paste in the Canva link and send an email!
If you want to access a project that is part of another team, you can do this quickly by toggling between teams.
Click on your profile name at the top of the homepage. The dropdown menu will show you a list of all of the teams you are a part of.
Just click on the team whose content you are trying to access, and Canva will automatically bring you to the homepage of the team you have selected.
Now you’re on the way to get some serious work done!
